Receiving Orders

AFTER YOU RECEIVE THE ORDER:

1. Verify receipt of totes and controlled substances prior to your courier leaving your building.

2. Use the online manual receiving for CSOS orders to make sure receipts are captured and archived.

3. Open and process totes one at a time. Use the price stickers in the tote to help you check in the order. The price stickers match the invoiced items. As you remove each item from the tote, you should have a price sticker for it. 

Place the price sticker near the expiration date on the bottle. 

Upon emptying the tote, check the page of stickers. 
A. If you have stickers left, this may be due to a shortage.
B. If there are more items than stickers, there could be an overage and/or mis-picked items.

NOTE: The proximity of the label to the expiration makes it easier to review receipt data with expiration data, thus ensuring appropriate rotation. This will also aid in detecting short dated items.

4. Place product into inventory, ensuring proper product rotation which is newest product stocked in back of existing product. Mark inventory received into your pharmacy management system if applicable.
5. Verify product received meets the ROP on shelf label.
 
 

NOTE:  When merchandise is received with a 6 month or less of expiration date, or short dated, you can do 2 things:

1. Return as damaged and receive full credit.
2. Put a colored dot on the product and write the expiration date on the dot. This will identify any item that needs to be dispensed within the 6 month time frame.

ROTATE INVENTORY ON A "FIRST-IN-FIRST-OUT" METHOD (FIFO)

Place new merchandise behind the existing merchandise. This will ensure that older merchandise is dispensed first, thus preventing older inventory from going out of date. Make sure that anyone stocking shelves is aware of this method.

As orders are put away, spot checks should be performed to ensure proper item rotation.

Perform monthly shelf checks for outdated, poorly-rotated, and overstocked merchandise. Break down the areas to be checked into four distinct areas and assign an employee to check a different section each week during the month. By checking these areas on a weekly basis, this will make stock checks more accurate and efficient.

Week 2 Fast movers and Alphabet A-D
Week 3 Compounding Room and Alphabet E-O
Week 4 Reconstitutable and Alphabet P-Z
